🚀 Getting Started

Trovi is a platform that connects organisers, exhibitors, and treasure hunters in a single ecosystem. For organisers, it's a powerful tool to centralise the management of their events, exhibitors, and entries. For exhibitors, it's a showcase to attract more treasure hunters. For treasure hunters, it's the way to find the best deals near them. Everyone benefits.

Less than 5 minutes once your exhibitor library is set up. The first creation may take a little longer if you enter your exhibitors manually, but our help service can save you valuable time (see question 4).

Nothing. Signing up for and using Trovi as an organiser is 100% free.

Our business model relies on exhibitors who choose to upgrade to paid plans to benefit from advanced features (listing items online, geolocation, increased visibility, etc.). The more exhibitors you attract to the platform, the more they discover the app's value, and the more likely they are to move up to higher tiers. It's a virtuous circle.

You have several options:

  • Manual entry: You add exhibitors you know one by one.
  • Existing file: Already have a list in Excel, Google Sheets, or on paper? No problem.

Our free service: Send us your file (in any format) at createmylibrary@trovi.fr and we'll compile your library for you. We take care of structuring everything in our database. It's 100% free.

This library becomes your personal directory, reusable for all your future events.

👥 Managing Exhibitors

Here's the complete flow:

  • You build your library (manually, by import, or via our help service).
  • You publish your event on the Trovi.fr interactive map.
  • You manage your exhibitors: From your library, you browse your exhibitors at your own pace. For each exhibitor you want to invite, you click "Add to waitlist" on your event.
  • You send the invitation: From this waitlist, you send your invitation via our internal messaging system. The exhibitor receives an email with a link to download the Trovi app, sign up, and book their spot.
  • Spontaneous requests: Exhibitors who see your event on the map can also submit a booking request. These requests appear directly in your waitlist.

All interactions happen through our internal messaging system, centralising all your communications.

Once your event is published, it appears on the Trovi.fr interactive map. Exhibitors with an account can:

  • See your event on the map
  • View details (date, location, rates, services offered)
  • Submit a booking request directly from their dashboard

In their request, they can specify their desired spot length, expected arrival time, and specific needs (electricity, tables, proximity to an exit, etc.). You receive their request in your waitlist and can accept or decline it.

Yes. Each request shows you:

  • The desired spot length
  • The expected arrival time
  • Specific needs (electricity, tables, spot near an exit, etc.)
  • The exhibitor's reliability score (based on their history)

This gives you all the information you need to make an informed decision.

No problem. You can still add them to your event. These exhibitors are marked as "details to verify at check-in". On the day, your access controllers can find them by name in the database and validate their entry manually.

Note: Even without the app, the exhibitor can pay at check-in using your preferred method (cash, cheques, card). The controller simply records their arrival manually in the system.

That said, seeing app-equipped exhibitors attract more treasure hunters (thanks to geolocation and listing their items online), they'll naturally be encouraged to install it for their next events.

Yes, your waitlist centralises all pending requests and invitations. Once your event is full, new exhibitors are automatically placed on this list. If a registered exhibitor drops out, you can send an invitation to the next person on the waitlist with one click.

Yes, the exhibitor's reliability score is displayed directly in their request. If an exhibitor has a history of frequent no-shows or cancellations, you can choose not to accept them. It's a powerful tool for protecting the quality of your event.

💶 Payments

Yes, absolutely. You keep full control over how you want to be paid. In your event settings, you can turn the "Online payment allowed" option on or off.

  • If you enable it: Exhibitors can pay for their spot online via Stripe.
  • If you don't enable it: Exhibitors pay at check-in however you prefer (cash, cheques, or card via your own payment terminal).

It's your call. Some organisers prefer to keep their traditional system, others adopt online payment to save time. Both options are available.

You have a choice:

  • Online payment (optional): If you enable this option in your event settings, exhibitors can pay for their spot online via Stripe. We take no commission on these payments. We simply deduct Stripe's transaction fees and the rest is paid to you in full.
  • Payment at check-in (traditional): If you prefer, you can disable online payment. Exhibitors pay directly at check-in in cash, by cheque, or by card (via your own terminal). You keep your usual system.

Important: Whether or not the exhibitor paid online, the access controller sees all the information on their screen when scanning the QR code or searching by name: confirmed booking, options chosen (electricity, tables, etc.), and payment status.

Yes. If you have your own payment terminal, you can accept card payments at check-in. Online payment via Trovi is an option, not an obligation. You remain free to use your own payment methods.

Your dashboard shows each exhibitor's payment status in real time, regardless of the payment method chosen:

  • ✅ Paid online: Payment was made via Stripe.
  • ⏳ Payment at check-in: The exhibitor will pay on site (cash, cheques, or card).

If you've enabled online payment, you see exactly how much has been paid and how much you'll receive. If you haven't enabled it, you simply know which exhibitors still need to pay at check-in.

📄 Required Documents

While we recommend checking current regulations, we offer a tool to simplify the collection of common documents such as ID or proof of insurance. You can define in your event settings which documents are required.

The exhibitor will need to upload them via the app before receiving their entry QR code, saving you from checking them on the morning of the event. (Personal data management via Trovi is GDPR-compliant).

🚪 Access Control (Event Day)

The Gatekeeper (or access controller) is the person responsible for managing entries on the day of the event. They use their own Trovi app on their smartphone to scan exhibitors' QR codes or search for their name. They're the one who validates each exhibitor's entry in real time.

No special equipment is required - just a smartphone with the Trovi app installed.

The process is simple and takes just a few clicks:

  • The Gatekeeper signs up on Trovi and logs into the app.
  • They make themselves available by switching to "Available" mode in the app.
  • You see them appear on your organiser dashboard.
  • You "open" the event to that specific Gatekeeper from your dashboard.
  • The event is activated on the Gatekeeper's app. They can start scanning entries.

Important: You can manage up to 5 Gatekeepers simultaneously for the same event.

The Gatekeeper has access to a limited, targeted version of the information. Their screen only shows what they need to do their job:

  • Exhibitor name
  • Assigned spot number
  • Payment status (✅ Paid / ⏳ Payment at check-in)
  • Selected options (electricity, tables, etc.)
  • Document status (validated or not)

What they do NOT see:

  • ❌ Detailed financial amounts
  • ❌ Sensitive personal information about exhibitors
  • ❌ Overall event statistics
  • ❌ Other Gatekeepers' data

The Gatekeeper has just enough information to do their job effectively, without compromising data privacy.

Yes. The Gatekeeper can tap "Close the door" in their app at any time. This immediately blocks any further entries at their station. However, the event remains visible and manageable by the organiser and other Gatekeepers.

This is useful for managing crowd peaks, taking a break, or closing access at a specific time.

Yes, up to 5 Gatekeepers can operate simultaneously on the same event. All scans and validations are synced in real time.

A concrete example:

  • Gatekeeper 1 at the main entrance scans exhibitors A, B, and C.
  • Gatekeeper 2 at the side entrance scans exhibitors D, E, and F.

The organiser sees all entries in real time on their dashboard, regardless of which Gatekeeper validated them. Gatekeepers don't see entries validated by their colleagues, but the organiser has a full overview.

No. Absolutely no special equipment is required. The Gatekeeper simply uses their own smartphone (iOS or Android) with the Trovi app installed and connected. The phone becomes the QR code reader and information transmitter. Nothing else is needed.

Yes. If a Gatekeeper can no longer staff their station, you can close their access from your dashboard and open the event to a new available Gatekeeper. The new Gatekeeper immediately picks up where the previous one left off. All entries already validated remain recorded.

The Trovi app is designed to sync in real time whenever a connection is available. If the Gatekeeper loses connection, they can still scan QR codes (data is stored locally) and validate entries. As soon as the connection is restored, all data is automatically synced with the organiser's dashboard.

On the day of the event, your Gatekeepers use the Trovi app in "Gate" mode:

  • With the app: The exhibitor presents their QR code. The Gatekeeper scans it and the entry is validated in under 3 seconds. The exhibitor's status automatically switches to "Checked in" on your dashboard.
  • Without the app: The Gatekeeper looks up the exhibitor's name in the database via the app and validates their entry manually. The status is updated as well.

Everything is tracked, whether the exhibitor has the app or not.

Yes. Your monitoring dashboard lets you track arrivals in real time, hour by hour. You have a clear view of the number of exhibitors already on site, cancellations, and any no-shows at the end of the session.

The platform has an internal messaging system. For mass communications (such as a postponement due to weather), you can send a notification with a single click that will be broadcast simultaneously by email, SMS, and push notification in the app to all your exhibitors. No more individual messages or endless texting.

The app lets treasure hunters see items listed for sale by exhibitors. If a treasure hunter is interested in an item, they can see the stall's exact location thanks to geolocation. The internal messaging system makes it easy for exhibitors and organisers to communicate directly, and for exhibitors and treasure hunters to connect on site.

🔒 Trust, Security and Reputation

Absolutely. Trovi is GDPR-compliant. Your data is hosted securely, and all payments are processed via Stripe, an encrypted payment platform internationally recognised for its reliability.

They remain in your "library". You can view them at any time. Our algorithm assigns them a reliability score based on their history (no-shows, cancellations, delays). This way, you'll know at a glance who you're dealing with for your next events.

After each event, you can give a rating to each exhibitor. Our algorithm calculates an overall score that takes into account:

  • Punctuality of arrivals
  • Cancellations (and how far in advance of the event date)
  • No-shows (exhibitors who don't show up without notice)
  • Feedback from other organisers

No-shows are penalised more heavily than cancellations, which encourages exhibitors to communicate if there's a problem. These ratings are visible to all organisers, letting you know at a glance who you're dealing with.

After the event, each exhibitor has the option to leave a review and rating of their experience with you as an organiser. This covers aspects such as the quality of the welcome, whether promises were kept (spot, services), and how clear the information was before the event. This rating contributes to your reputation on the platform and appears to exhibitors browsing your future events.

Transparency is at the heart of Trovi. Exhibitors can leave a review and rating for organisers, just as you can rate exhibitors. If an exhibitor feels you didn't keep your commitments (promised spot not honoured, no electricity despite offering it, etc.), they can give you a negative rating. This encourages you to keep your promises and lets exhibitors choose the most reliable organisers.

Yes. Exhibitors view your profile before submitting a booking request. They see your average rating (based on reviews from previous exhibitors), the number of reviews left, and the reliability of your events (last-minute cancellations, etc.). It's a mark of trust that encourages you to offer the best possible experience.

🏁 After the Event

Once your event is published, it appears:

  • On the Trovi.fr interactive map, visible to all treasure hunters and exhibitors.
  • In the search results of exhibitors looking for events to join.

Exhibitors with an account who are logged in receive a notification letting them know your event is now open for registration (based on their location preferences).

Yes, with the "Copy event" feature. You can duplicate the event in one click with all its information (rates, rules, etc.), then edit whatever you want before republishing it. A considerable time saver.

Your post-event dashboard gives you a complete overview:

  • Total number of entries
  • Cancellation rate
  • Number of no-shows
  • Financial summary (online payments vs. payments at check-in)
  • Arrival times (to optimise your next events)

You can also see which exhibitors were the most engaged.
